All user types except Reviewers (Limited access) can upload and edit candidates for their assigned jobs.
Uploading options
To the Sourced stage
- Navigate to the jobs dashboard and scroll to the relevant job.
- Click on the three dots menu to the top right of the pipeline, and select Upload Candidates from the dropdown menu.
- Select your file(s) using your computer’s file browser, or drag and drop several resumes from your computer into the “Drag & Drop” window to upload them in bulk.
- Expand the 'Add details' section to add info like tags, source or comments
- Once ready, click Add to Sourced
To a specific stage
If you need to add candidates to a specific stage in your pipeline:
- Navigate to that stage and:
- 💡Either Drag & drop one or more resumes directly into the pipeline view to add candidates faster to this specific job and stage.
- Or click Add candidates > Add resume and select your file(s) using your computer’s file browser, or drag and drop several resumes from your computer into the “Drag & Drop” window to upload them in bulk.
- 💡Either Drag & drop one or more resumes directly into the pipeline view to add candidates faster to this specific job and stage.
- (Optional) Add additional details like:
- Tags
- Source
- Comments
- Once ready, click 'Add to [stage]'; you have the option to choose another stage if needed different than the one you are currently viewing.
Resume details parsing
The documents are parsed and scanned for the following fields:
- Candidate name
- Email address and contact information
- Social media account links
- Profile picture
If the fields are found (either in the resume or retrieved via our sourcing tools), the data is extracted from the documents and entered directly into the candidate profile. Workable also checks email addresses to see if candidates already exist in your database to prevent any duplicates.
If you spot a mistake or need to add any data, you can edit candidate details by clicking on the 'More actions' menu in the toolbar.
Contacting uploaded candidates
Once you upload the candidates to your pipeline, contact them individually or in bulk. These candidates have not directly applied for the job, so be sure to introduce yourself, the company, and the job, explain why you're reaching out, and see if they are interested in being considered for the role. Below are some options for your first outreach:
- Generate a personalized outreach email with AI
- Use the communication template named 'New job opportunity' (included in the default templates)

You can also ask uploaded candidates to apply on your careers page (so that they can answer your application questions). You can check more here on how this will be handled in the system (scenario 3 in the table).
Note: If you have GDPR features enabled on your account, candidates that are sourced for jobs in the EU, UK, Norway, Iceland, Switzerland & Liechtenstein will be deleted after 30 days unless you contact them via email through Workable.

- What's the maximum number of resumes that can be uploaded at once?

We recommend uploading up to 100 resumes at a time. If you have thousands of resumes to upload, contact us about arranging a data import.
- What types of files are supported?
- The acceptable file types are:
- .doc
- .docx
- .rtf
- .odt
- Where can I upload resumes as speculative applications?
- Use the Talent pool to upload candidates who do not fit into an active job.
- I uploaded a resume, but not all details are parsed.

In order for the resume details to be parsed correctly, it's essential that the resume text can be copied and pasted from the file. For example, if contact details are added as an image in the resume, this information cannot be parsed. You can check this by attempting to select and copy text from a PDF document. If you are unable to do so, the information is likely added as an image and can't be parsed in Workable.
