The Workable Inbox will update with notifications or actionable items about the candidates you've been working with or employees (if you're using HR features).
On a desktop, you can access it by selecting the envelope icon at the top right of Workable.
- Select an inbox item to take an action or review
- Filter notifications based on specific jobs
- Filter notifications to see only actionable items/to-do's (also included on the homepage under to-do's widget)
- Archive inbox items you don't need anymore
- Via the "Showing all items" dropdown menu, you can:
- Select the option to 'Show unread items only' to view only the items you haven't reviewed. These unread items are unrelated to your mailing inbox, meaning that messages you read in your mailing inbox are not considered read in your Workable account.
- Select the option to 'Include Archived items'. An inbox item will be archived if the action is performed from anywhere in the product, such as the homepage.
In mobile apps, you can access your Inbox by selecting the bottom navigation bar (iOS) or the left drawer menu (Android).
Notifications arrive in your personal inbox when:
Recruiting:
- A candidate sends an email (if you were the last person to email the candidate)
- A user copies you on a message
- Someone on your team mentions you in a comment (“@your_name”) or adds you as a follower
- You receive a calendar invite
- It’s nearing the end of a candidate’s ‘snooze’ period
- A co-worker requests referrals for a job
- A co-worker completes an evaluation or a scorecard
- You are requested to approve an offer letter
HR (if Employee management features are enabled):
- You are requested to approve/reject profile change requests
- You are requested to sign documents
- You are requested to approve/Reject time-off requests
- You receive a response to your time-off request
- You get notified when your employee profile has been published
If Hiring Plan is enabled, then:
- You are requested to create/approve/open a requisition
- Someone approved/rejected a requisition you’re involved with
- Someone opened a requisition you’re involved with
If you’re an Admin in Recruiting, you’ll also receive a notification when a member of a hiring team wants to take specific actions on a job, for example, publishing, archiving, or unpublishing a job.
Notifications under the Important tab tend to require a response or action from you. These include comments you’re mentioned in, events you’re invited to, candidates’ replies to your emails, and so on. Everything in the Important tab also appears in the regular Inbox tab.
Syncing your Workable Inbox with Gmail or Outlook
If you have connected Workable with Gmail or Microsoft 365 Outlook, you can enable additional sync options to keep your Workable Inbox aligned with actions you take directly in your email client.
To access these options, select the three-dot menu (⋮) next to the Showing all items dropdown at the top of your Inbox. Two sync options are available:
- When reading an item: items you open and read in your Gmail or Outlook inbox are automatically marked as read in your Workable Inbox as well.
- When archiving an item: items you archive in your Gmail or Outlook inbox are automatically archived in your Workable Inbox as well.
Both options are independent - you can enable one or both depending on your preference.
Note: These options are only visible if your account has an active Gmail or Microsoft 365 Outlook integration. If you do not see them, check that your email integration is connected under Settings > Integrations > Apps.

- Why did some items disappear from my Inbox?

There are some actions that trigger the deletion of the related inbox items. For example, when a job is archived, all inbox items contained in candidates for that job are deleted. Other actions are:
- When a job is archived
- When a candidate is deleted
- When a job is deleted
- When an event is deleted
- When an email is deleted
- When a comment is deleted
- When a comment/email changed to have restricted visibility
