With Zapier, you can automatically create candidates in Workable whenever a new row is added to a Google Sheet. This is helpful when you want to create a form for an internal job outside of Workable, which will automatically fill a sheet that can be used by Zapier to create candidates in Workable.
This article explains how to set up a Zap that transfers candidate information from Google Sheets to an internal job in Workable.
Before getting started, make sure you can access your Google Sheet and connect your Workable account to Zapier. For more information about connecting Workable, see Integrating with Zapier.
Prepare your Google Sheet
Create or open a Google Sheet and add the following column headers in the first row:
| First Name | Last Name | |
| john.doe@example.com | John | Doe |
| jane.smith@example.com | Jane | Smith |
Add one candidate per row, making sure there are no blank rows between candidate records. Include at least one completed row to use when testing your Zap.
You can also add columns for additional candidate information, such as phone number, resume URL, or cover letter, and map them to the corresponding fields in Zapier.
Set up the Zapier trigger
The trigger determines when the Zap runs. In this case, a new row in Google Sheets will trigger the creation of a candidate in Workable.
- Sign in to Zapier and create a new Zap.
- Select Google Sheets as the trigger app.
- Under the trigger event, select New Spreadsheet Row.
- Connect your Google account and follow the authorization prompts.
- Select the Spreadsheet and Worksheet containing your candidate data.
- Test the trigger and select a sample row. Make sure the candidate's email address, first name, and last name are displayed correctly.
Set up the Workable action
Once your trigger is ready, configure the action that will create candidates in Workable.
- Add an action step and select Workable as the app.
- Select Create Candidate as the action event.
- Connect your Workable account and follow the authorization prompts.
- Configure the action using the following fields:
| Workable field | What to select |
| Account | Your Workable account |
| Job | The internal job where candidates will be added |
| The Email value from Google Sheets | |
| First Name | The First Name value from Google Sheets |
| Last Name | The Last Name value from Google Sheets |
| Sourced | Choose whether candidates should be marked as sourced |
You can use additional fields as well depending on the structure of the candidate's profile and the columns included in the sheet. To map a field, click it and select the corresponding value from the Google Sheets trigger. Zapier will use these mappings to populate each candidate's profile with the information from the new row.
If needed, select a Stage and map additional supported fields, such as Phone, Resume URL, or Cover Letter.
Test and publish the Zap
Once you've configured the trigger and action, test the workflow before activating it.
- Test the Create Candidate action using the sample row from Google Sheets.
- Open the selected internal job in Workable and confirm that the candidate was created with the correct information.
- Return to Zapier, review your workflow, and click Publish.
- Add a new, completed row at the bottom of your Google Sheet and verify that the candidate is created in Workable.
Note: Testing the Workable action creates an actual candidate profile. We recommend using test candidate details and deleting the profile afterward if needed.
Once the Zap is active, each new row added to the selected worksheet will trigger the creation of a candidate in the specified Workable job.
Troubleshooting
If your Zap isn't working as expected, review the common issues and recommended checks below.
| Issue | What to check |
| The job is unavailable or cannot be found | Make sure you've selected the correct Workable account and that the connected user has access to the intended job. |
| Authorization fails | Reconnect your Google Sheets or Workable account in Zapier and follow the authorization prompts. |
| Candidate details are missing or incorrect | Check the sample row and field mappings. If you've changed the column headers or spreadsheet structure, retest the trigger and update the affected mappings. |
| Candidates aren't appearing in Workable | Make sure the Zap is active and that new rows are being added to the correct worksheet. Review Zap history for failed runs or error messages. |
Tip: Before renaming or rearranging spreadsheet columns, turn off your Zap. After making changes, retest the trigger, review the field mappings, and publish the updated Zap.
