This article explains how to complete your I-9 form through Workable, whether you are completing it as part of onboarding or during your employment.
Completing I-9 during onboarding
If your employer has included an I-9 task in your onboarding workflow, you will complete it through your onboarding portal.
- Locate the I-9 form task in your task list and open it.
- Enter your personal details (e.g. name, address, date of birth).
- Select your citizenship or immigration status.
- Choose your documentation that verifies your identity and employment eligibility to work in the US.
- Add Preparer & Translator Certification, if there exists someone who assists you with the completion of the process.
- Review your details and sign electronically.
Completing I-9 during employment
In some cases, your employer may request an I-9 form during your employment.
- Click the link from the email notification to open the task in your Workable account.
- Action the inbox item and complete the steps. The completion process is the same as the one during onboarding.
Remote verification (if required)
If your employer has enabled remote document verification, you may need to complete additional steps involving an authorized representative.
- If you are still in the onboarding process and have access to the onboarding portal only, you will receive an email with a link to open the onboarding website and proceed with completing the I-9 task you are assigned.
-
If you have access to Workable, you will receive an Inbox entry, a to-do item, and an email/Slack notification to complete remote verification.
Once you start the process you will be prompted to enable you location services on the device you are using and insert the US mobile number of the 3rd party representative that will verify the documents. This will trigger a link via SMS to the 3rd party representative that will verify the authenticity of the documents.
If the 3rd party representative does not receive any SMS message, you can still send the verification link manually by selecting the 'Send Text Message' action in the following screen. This will create a new SMS message on your device and prompt you to send it manually.
The representative will then:
- Review your original documents in person.
- Confirm that they appear valid and match your identity.
- Complete and sign Section 2 electronically.
You will be notified once this step is completed or if any further action is required.
