Every candidate who will be moved to the Hired stage of your recruiting pipeline must be attached to a unique open requisition. A single job in Workable may have multiple requisitions, so hiring multiple people for a job is doable if a requisition is created for each of them.
Candidates cannot be moved to the Hired stage in bulk and cannot be moved across jobs directly into the Hired stage.
There are two ways to attach a candidate to a requisition: by moving the candidate to the Hired pipeline stage or by sending an offer letter.
Moving the candidate to the Hired stage
Important: Standard Members can assign a requisition to a candidate only by moving the candidate to the Hired stage, as they are not necessarily able to view the requisition details.
Upon moving a candidate to the Hired stage:
- Select the desired requisition from the list of all available requisitions for that job. The requisition must be under the 'Open' status before it can be associated with the candidate. If a requisition has not been created or approved for this hire yet:
- You can create a new requisition if you have the permission to do so
- You can send a notification to an Admin user requesting that a req is created/opened if you don't have the right permission to create or open a requisition yourself
- Click on Continue
- Enter the salary details and start date for the candidate
- Once ready, click Save & move to Hired
The requisition status will now be updated to Filled, and the candidate will be moved to the Hired stage. The start date and salary details you enter here will be used in reporting and won't be visible to the candidate.
Sending an offer letter
Upon clicking the pen tip icon to send an offer letter to a candidate:
- Select the desired requisition from the list of all available requisitions for that job. The requisition must be under the 'Open' status before it can be used and the offer sent to the candidate. If a requisition has not been created or approved for this hire yet:
- You can create a new requisition if you have the permission to do so
- You can send a notification to an Admin user requesting that a req is created/opened if you don't have the right permission to create or open a requisition yourself
- Complete the offer letter form as normal.
If the offered salary is too high compared to the budgeted salary in the requisition or if the start date is after the requisition's Plan Date, a notification will appear for the requester and any users in the approval workflow for the offer letter. In either case, you can still proceed with making the offer.
Once the candidate accepts the offer, they can be moved to the Hired stage, and the requisition status will update to Filled. The start date and salary from the offer letter will be used in reporting.
