Key info: Overview of your company headcount (active employees) broken down by department, entity, location/site and employment type
Data filter: Includes data based on active employees within the given period (draft or inactive employees for the given period are excluded from the report)
Update frequency: Every 30 minutes
To access the report:
- Go to Reports in the main navigation bar
- Open the Employee Management tab
All account members can access this report.
Filters
Use the drop-down options to filter the report by department, entity and employment status (you can select more than one at a time).
Use the date filter to select the point in time for which you want to view your headcount. The date filter defaults to Today, with options to select Yesterday or a specific date in the past.
Note: The headcount report is a point-in-time report. It shows the total number of active employees and their distribution on the selected date, not across a date range.
Visual data
At the top of the page, you can see:
- Total headcount by department (top-level department)
- Total headcount by entity (legal entities)
- Total headcount by employment status (based on the options defined in the Employee status profile field)
Note: If the results are divided into more than 4 departments or entities, then the top 4 (based on the number of employees) are displayed, and the rest are grouped under an "Other" option.

Headcount breakdown by department
This is the default view when you open the report. You can see the total number of active employees in each top-level department at the selected date.
If you want to drill further into a specific sub-department, apply the department filter at the top of the report and the table will update to reflect the filtered selection.
Headcount breakdown by entity & location
In this view, you can see the total number of active employees grouped by legal entity and location at the selected date.
Headcount breakdown by entity, location and department
This view combines all three dimensions. You can see the headcount distributed across each entity and location, with a further breakdown by department within each location. This gives you a full picture of how your workforce is structured both geographically and organisationally at the selected date.
Headcount breakdown by employment status
In this view, you can see the total number of active employees grouped by employment type at the selected date. Employment types reflect the options configured in your account, e.g. Contractor, Full-time, Part-time.
To edit the employment type field (e.g. add more options):
- Go to Profile Templates and then go to Job > Employment
- Edit the Contract Details multi-field
- Edit the Employment type sub-field
Save and schedule the report
You can save your filtered view of the Headcount report or set it up to run on a schedule. Saved reports are stored under Custom reports in the Report Center.
