Time-off details, including time-off balances, upcoming time off, time-off history, and detailed transactions, will be available under the Time off tab within each employee profile and accessible by:
- HR Admins
- Line Managers and managers above line manager
- The employee who is the owner of the profile
Each employee can also access their own time-off balances and upcoming time-off via their home page.
Time-off balances
The Balances tab includes all currently available time-off types, including the below data:
- Time-off type name
- Currently available balance in days/hours, depending on the policy assigned to the employee
- Used days/hours from the policy within the specific policy cycle
Actions available in the contextual menu of each card are:
- Request time off
- Edit balance (available only for HR Admins)
- View details (available for employee, management vertical line & HR Admins)
Time-off transactions view
Employees and other members with access to the employee profile time-off tab (management vertical line & HR Admins) can see all transactions that have taken place for a specific time-off type by selecting View details action in the three dots menu of each balance card.
On the new screen, you can:
- See each credit or debit transaction for the current calendar year
- Select which calendar year you want to see via the filter on the right
- See a breakdown of the current balance so that employees know when the current cycle expires and when carryover expires (if it exists)
In case of a manual balance adjustment by the HR admins, any note added to the specific action will also be shown within the respective transaction.
Upcoming time off
The Upcoming tab includes a list of all time-off requests that start from tomorrow’s date onwards, sorted from the closest requests to the future ones. It will also display upcoming company holidays that are relevant to the employee.
The view can be filtered by:
- Time-off type
- Time-off request status
- Pending (shown by default)
- Approved (shown by default)
- Rejected (update filter to view)
- Canceled (update filter to view)
Actions available in the contextual menu of each request are:
- View details
- Cancel request
- See a list of their approved and pending upcoming time-off requests by clicking View all in the time-off section.
- Tap an upcoming request to view a detailed screen with all information.
- Cancel an upcoming request for themselves if needed.
Time-off history
The History tab includes a list of all time-off requests that have already started and are ongoing or were taken in the past, sorted from the closest requests to the past ones.
The view can be filtered by:
- Year (by default, we will show requests for the current year)
- Time-off type
- Time-off request status (by default, we will show all statuses)
Actions available in the contextual menu of each request are:
- View details
- Cancel request (only for HR Admins)
- See a list of all their past time-off requests by clicking View history at the bottom of the time-off details page.
- Tap a request in history to view a detailed screen with all information.
Time-off attachments
If a time-off policy requires an attachment (e.g., Sick leave), you can see relevant information under the Upcoming and History tabs. More specifically:
- When a time-off request is missing an attachment that must be provided, an "Attachment missing" indication is shown under the request. HR Adminis can nudge employees who may have forgotten to attach a file via the contextual menu of each time-off request.
- When an attachment is provided for a time-off request, a paperclip 📎 icon is shown next to the time-off request period.
