Bulk emails help you save time by sending the same email to multiple candidates at once. This is most useful for sending information about the job to your sourced candidates or notifying disqualified candidates about the result of their application.
Notes:
- Candidates will not see the other addresses that the email has been sent to - it works like BCC in a regular email.
- For better delivery rates, we recommend sending bulk emails in batches of 100-200 at a time. If you are using Gmail the daily sending limits are: 500 (free account) & 2000 (paid account).
Bulk texting is available with Workable's Texting premium tool.
Initiating and sending a bulk email
You can send mass emails to candidates from the Candidates page or the Pipeline view. To open the bulk action toolbar, follow the steps below:
- Select all candidates or the checkboxes next to individual's names. If you are in the Pipeline view, you can select the "All" stage or a specific stage in the pipeline (e.g. “Sourced”) containing the candidates you’d like to email.
- Click
in the bulk action toolbar that will appear at the bottom of the candidates' list
- This will open a pop-up form where you can see the messaging tools and compile your email
Mass emails work similarly to regular email in Workable; no matter how many candidates you’re sending to, you can use templates, attachments, and all the other features you’re familiar with.
Unlike sending a single email to one candidate, followers are not copied on bulk emails.
Visibility of bulk emails
Mass emails retain the visibility of the most recent message sent to the candidate. This means that, even if sent to multiple candidates, each email will have the visibility settings of the particular Timeline. If this is the first message to a candidate, or the visibility was set to "All hiring team", the visibility of the bulk message to that particular candidate will be set to "All hiring team" by default.
If the most recent message on a candidate's Timeline has limited visibility, the bulk email sent to that candidate will also have limited visibility.
🔎 You can always update the visibility of the email on the candidate's Timeline directly or set the Confidential zone to keep the bulk emails private by default.
System checks
Below are the major system checks that happen when sending a mass email to candidates:
- Candidates are anonymized and can't be contacted (may be applicable for candidates under the "All" stage)
- Candidates no longer exist
- Candidates with invalid emails
- Candidates without an email

Candidates at risk of receiving a duplicate email (via the same communication template on a job basis)
Note: The duplicate email check will only work with templates. We strongly recommend creating and using templates for the most frequent types of communication.
If one or more of these checks fail, the message won't be sent to the candidate, and it will be shown in the bulk action summary as on-hold or failed to be sent. Click View next to the related action to see the full summary.
On-hold email example
The bulk email below will appear as 'On hold' because we've already sent an email to Emma using the same communication template. If you choose to Resend email, the candidate will receive a duplicate email.
