Depending on your pipeline setup, you might have multiple pipelines to choose from for different jobs. To choose a pipeline for a job:
- Navigate to the Workflow step when editing the job
- The custom pipelines available for your account are listed and displayed underneath. Just click the button next to the most appropriate pipeline for the job and ‘Save changes’.
Note: Pipelines assigned to specific departments/locations will be displayed here only if the location/department of the job matches the ones set for the pipeline.
Changing pipeline
As long as no candidates have moved past the default ‘Sourced’ and ‘Applied’ stages, it’s possible to apply a new pipeline to an existing job.
- Go to the editing stage and click the Workflow tab
- Click Change pipeline on the left of the page and select a different pipeline from the list
If you had candidates moved through the initial stages it would not be possible to update the pipeline even if you move them back to the Sourced/Applied stage. In this case, follow the steps outlined below.
Switching to a new pipeline when candidates have progressed
If you need to change the pipeline but candidates have already moved past the Sourced or Applied stages, follow these steps:
- Duplicate the original job — the clone will be created in draft with the default pipeline.
- Open the job, go to the Workflow tab, and select the correct pipeline.
- Move your candidates from the original job to the new one - their current status (e.g. Sourced, Applied, Disqualified) will be preserved.
If you have an active premium job board posting (e.g. Indeed campaign), keep the original job published until the campaign expires. Premium postings are tied to the original job and will not transfer to the duplicate. This way, you preserve the remaining posting period while working with the correct pipeline in the new job.
Moving candidates to the new job will not re-trigger automations. Thank you automations are triggered only when a candidate initially applies, and Disqualification automations only when a candidate is actively disqualified, simply moving a candidate into a stage does not activate either. Stage-based automations (message template, self-schedule, video interview, assessment) also require a candidate to be moved between stages within the same job to trigger. If candidates need to receive a communication in the new job, send it manually or via a bulk action.
