Record the progress of your company's onboarding workflows and take action as needed. To get started, navigate to the Employees page and click the Onboarding tab.
📌 The Onboarding page is only visible to HR Admins and Standard members with direct reports; standard access members not managing anyone won't be able to view this page.
Onboarding statuses
According to the status of the onboarding process, each list item corresponds to one of the following:

Pending |
All draft employees with a future start date, or whose start date is not specified, will be shown here. |
Scheduled | All employees displayed here were assigned an onboarding workflow, and the workflow is scheduled to start at a future date. HR admins can view details and edit/stop onboarding via the contextual menu. |
In progress | All employees who have been assigned to an onboarding workflow and the onboarding process has already started. A progress bar will show the percentage of tasks completed.
When there are overdue tasks in the workflow, you will see a warning, with an action to 'View overdue tasks'. HR admins can view details and stop onboarding via the contextual menu. |
Completed | All active employees who have completed an onboarding workflow. Inactive (offboarded) employees won't be included here. |
Starting onboarding
Prerequisite: Prior to starting employee onboarding, configure your onboarding workflows as an HR Admin.
HR Admins can begin the onboarding process for Pending employees by clicking Onboard. In the window that opens:
- Select the profile template you would like to use for this employee (the default employee profile template will be selected by default).
- Select the onboarding workflow you would like to use for this candidate.
- Select when the onboarding should be initiated - immediately or on a custom date.
- Select whether to automatically publish the profile and invite the member on their start date. It is advised to keep these settings enabled to avoid having to handle these tasks manually.
Note: Both actions of publishing and inviting the employee will occur at midnight on their start date. This allows you to onboard the employee on their first day if necessary. - Click Start onboarding, and the employee will be moved to Scheduled onboarding status.
View details and manage onboarding
HR admins can perform actions for each employee under the contextual menu. Line managers can only access the 'View details' option under the contextual menu.
View details (available for Scheduled, In progress, and Completed onboarding workflows for HR Admins and Line Managers)
This option will open the tasks drawer, which includes the detailed list of tasks included in the onboarding workflow, along with their status and relevant actions.
Edit onboarding (available for Scheduled onboarding workflows and only HR Admins)
Select a different onboarding workflow and/or change when the onboarding workflow is to begin for this employee.
Stop onboarding (available for Scheduled & In progress onboarding workflows and only HR Admins)
Stop an onboarding workflow that has started (In progress) or remove it from the scheduled list. Upon taking this action, the employee will be moved to Pending onboarding status if their start date has not passed yet.
If the employee's start date has already passed, you will see a message informing you that you cannot initiate a new onboarding process if you cancel the current one.
