If the Workable Agent cannot send an email asking an applied candidate for missing details, the candidate timeline explains why the message failed. Check whether the issue is related to the selected sender or the candidate's email before changing the job settings.
Resolve sender or mailbox issues
Review the failed message on the candidate timeline to identify the issue and the next step:
- Mailbox disconnected or access is invalid: Reconnect the mailbox, ask the account admin to restore access, or select another sender. If the mailbox belongs to you, use the connect-account action when available. If it belongs to another member, ask them to reconnect their mailbox or select a different sender
- Sender is inactive, lacks job access, or cannot send messages: An admin should select an active member who has access to the job and permission to contact candidates
- Mailbox sending limit reached: The candidate timeline identifies the provider limit. An admin can select another eligible sender
- Personal email failed: The Agent does not automatically retry the failed message through the no-reply channel. The failure remains visible on the candidate timeline
Check the sender in Agent Settings
In the job's AI Agent tab, open Fill in missing details to review the selected sender and any warning displayed for that sender. Depending on the issue, an admin can:
- Select another eligible sender
- Switch to Agent email (no-reply)
- Turn off Fill in missing details to clear the related setting error
Users without permission to manage Agent Settings can see the issue explanation but may not have an action to resolve it.
Distinguish sender errors from candidate warnings
Not every failed or blocked email indicates a problem with the selected sender. Some warnings describe the candidate's status or contact information instead. Candidate-specific warnings can include:
- Candidate withdrew: The candidate has withdrawn their application
- Candidate was disqualified: The candidate is no longer eligible for Agent outreach
- Missing or unreachable email address: The candidate does not have an email address that can be used for outreach
These warnings describe the candidate and do not indicate that the selected sender is incorrectly configured.
Candidate email addresses are also checked for typo-domain and spam-trap issues. Existing email authentication requirements and mailbox sending limits continue to apply.
Resume eligible outreach
With Fill in missing details enabled, changing the sending configuration can trigger the Agent's existing re-evaluation process for eligible candidates from the last 7 days. This can happen when an admin:
- Replaces the selected personal sender with another eligible member
- Switches from Personal email to Agent email (no-reply)
Note: Re-evaluation does not guarantee that every previously failed email will be resent. Earlier failed messages remain visible as failed on the candidate timeline.
Reconnecting a mailbox, reactivating a member, or restoring their permissions alone does not trigger reprocessing. Reprocessing is tied to saving one of the qualifying sender changes above.
