Once a survey is open, you can track how many people have responded and review results as they come in, all from the Employee Survey Hub. This article covers the response rate and participant list, sending reminders to participants who haven't responded, reviewing aggregated results, and exporting data to CSV.
Note: Viewing survey progress and results requires the Access all surveys and view the dashboard permission or the Create and manage surveys permission.
Response rate and participant list
For every survey, you can see the total number of responses received, the response rate, the total number of participants, and the full list of participants. The participant list is dynamic and updates automatically based on the survey's configuration. For a 30-day check-in, for example, each new hire is added to the list and sent the survey as they reach their thirty-day mark, with the send date shown per participant so you can see exactly when each person was invited.
For transparent surveys, the participant list also shows each person's response date and status, and you can open an individual response and filter participants by department, entity, or response status. For anonymous surveys, the participant list still shows who's included, but not each person's response status or completion date, in line with the anonymity setting chosen when the survey was created.
Sending reminders
To help drive completion, reminders can be sent in the following ways:
- Automatic reminder: sent automatically to participants who haven't responded, three days before a set-date survey's end date
- Bulk reminder: send a manual reminder to all participants who haven't yet submitted the survey
- Individual reminder: send a manual reminder to a specific participant, available for transparent surveys only
Reviewing survey results
Results are reviewed in a centralized results view, where responses and scores are presented in aggregate per question. Select any question to drill into its detailed results.
Filter results by department, entity, location, or employment type to compare how different parts of the organization responded. For anonymous surveys, only aggregated results are shown, and only once a minimum number of responses has been received. If a filtered segment doesn't meet that minimum, its results stay hidden to protect anonymity. Open-text answers are always shown without respondent names.
Exporting to CSV
Everything in the results view can be exported to CSV for offline analysis, including individual responses where permitted and aggregated scores. Anonymity rules are respected throughout the export, so anonymous survey exports never reveal individual identities or responses below the anonymity threshold.
FAQs
- Can I send an individual reminder in an anonymous survey?
No. Individual reminders are only available for transparent surveys, since sending one requires knowing which specific participant hasn't responded. In an anonymous survey, use the bulk reminder option instead, which sends to all participants who haven't yet submitted without revealing anyone's identity.
- Why can't I see results for my anonymous survey yet?
Results for an anonymous survey stay hidden until a minimum number of responses has been received, to protect participant anonymity. This threshold also applies to any filtered segment of results.
