Geofencing is a powerful feature that limits clock-in and clock-out activities to predefined locations, ensuring accurate, secure, and location-based time tracking. This article guides you through the steps to set up geofencing in Workable.
Enabling geofencing in sites
Before geofencing can be enabled, you must first define and configure your organization’s sites. To create sites, navigate to the Company entities section and create at least one site under locations. For geofencing to work, all the following need to be entered:
- Site name: A descriptive name identifying the physical location from which the employee works.
- Site address: The exact site address using Google Maps convention.
-
IP address range (for web geofencing): Enter the start & end of an IP range. IPv4 & IPv6 are both supported. This is the public IP address that your company’s network resolves to (you may need your IT team's help to acquire this). Add or remove additional IP ranges will allow multiple IP ranges. In case of multiple IP ranges they will be applied as (IPrange1 OR IPrange2 … etc). Define IP ranges (from - to) as follows:
- IPv4 format is [].[].[].[] - []-[]-[]-[]
Validation: Each IPv4 field accept value 0-255 for each IP digit. - IPv6 format is []:[]:[]:[]:[]:[]:[]:[] - []:[]:[]:[]:[]:[]:[]:[]
Validation: Each IPv6 field accepts 6 hex values 0000:0000:0000:0000:0000:0000:0000:0000 to ffff:ffff:ffff:ffff:ffff:ffff:ffff:ffff
- IPv4 format is [].[].[].[] - []-[]-[]-[]
- GPS radius (for mobile geofencing): Select the radius from the dropdown that the geofencing applies to, considering the site address as the center.
Enabling geofencing in time tracking policies
Note: Geofencing can only be enabled for clock policies; it is not available for manual policies.
Once your sites are set up, the next step is to enable geofencing in your time tracking policies.
- Navigate to Time tracking settings.
- Create a new time tracking policy, or edit an existing policy.
- At Step 3 of the policy setup, you will see an optional Geofencing setting. All company sites created earlier will be listed for selection, unless a site has no address. If segment filtering is enabled in Step 1, we will show only sites belonging to the selected segment.
- You can enable or disable geofencing per site:
- No sites enabled: Geofencing is not activated, and employees can clock in and out freely without restrictions.
- One or more sites are enabled: Geofencing is enabled, and employees will only be allowed to clock in / out from enabled sites on the "on-site" days (set for the 'Workplace' setting under their work schedule).
