During an active review cycle, as an HR admin, you can monitor the progress of all employees involved and take necessary actions if required. When the cycle is close to the end date, you can review and export the outcomes.
HR admins can view reviews of the entire company, but they cannot see the reviews of other HR admins unless those admins are in their reporting line.
Overview of the preparation phase progress
If you require managers to customize self-review and/or manager review templates during the cycle setup (step 2) or add peers for their direct reports, all managers will be prompted to customize the review templates, add their own questions if needed, and mark the review forms as ready.
All managers must complete this before the review start date; otherwise, the reviews for their direct reports will be blocked and unable to begin. During the preparation phase, you can:
- Filter results to see only the forms with statuses not ready and draft. Then, you can ping the managers externally of Workable to complete the form reviews on time.
- See which managers still need to assign peers (if you are using peer reviews). Note that peer reviews are optional and non submitted peer reviews won’t block the review process.
- Assign (if no manager is assigned) or edit a reviewer for an employee.
- Access additional actions under the three dot menu like preview/edit form, mark as ready and, remove an employee from the cycle.
Overview of the review progress
When a review cycle is active, you can monitor the progress of all employees participating in the cycle. A visual timeline is displayed at the top of the page to clearly show the current progress towards key milestones in the review process.
You can check the review status for each individual or view the bar chart below the timeline for a quick visual summary of the number of reviews:
- Not started: no stakeholder started their review
- In progress: at least one of the stakeholders started their review
- Completed: all stakeholders completed their to-dos for their reviews
During an active review cycle, you can:
- View any of the reviews for employees or managers.
- View how many upward or peer reviews were submitted.
- View if 1-1 meetings were scheduled (coming soon)
- Edit the submission deadlines for individual employees. This will not affect any other employees' reviews in this performance review cycle.
- Assign (if no manager is assigned) or edit a reviewer for an employee.
- Remove an employee from this cycle.
- Reopen a signed review and revert it to "In Progress".
Through the filters at the top (could be under "More filters") you can get exactly the view you need by filtering by:
- Manager: to see their full reporting line.
- Your direct reports.
- Your reporting line: this makes it easier to focus on the right group of employees when managing larger cycles.
Overview of the review outcomes
As an HR Admin, you will have visibility on the ratings of all employees. The Outcomes section provides comprehensive visibility:
- Overview tab: Displays total completion rates and responses for all review types.
- Dedicated review type tabs: Show aggregated feedback results for each review types (self, manager, peer, upward).
- Question-level breakdown: Each question from the peer or upward templates is shown with aggregated responses (text, scale, or multiple choice).
- Transparency control: Reviewer names are visible or hidden depending on anonymity settings.
- The graph will show the overall rating distribution on the rating scale selected during the cycle setup.
- Within each review type tab, you can explore aggregated responses to each question, helping you identify patterns, trends, or areas for development across the team.
- To dig deeper, you can select a specific question and view a consolidated summary of all answers related to that question. This is particularly useful for analyzing how employees are performing or being perceived on key competencies.
For reporting and analysis beyond the platform, you can export all review responses to a CSV file, enabling further exploration or integration with other tools.
