As an HR Admin, when editing an employee profile, you can make changes to one or more fields and schedule the updates to take effect on a future date rather than immediately.
This is particularly useful when you need to make updates to Grades, Managers, or Salaries and want them to be effective from January 1st.
Scheduling updates
Only HR Admins can schedule updates for employees.
- Edit the employee profile (from the Actions menu)
- Update one or more fields
- Click the spit button and select the option to Schedule updates
- Select the date you wish to apply the changes in the employee profile
- Click Schedule to confirm the action
Viewing scheduled changes
Scheduled updates will be displayed by clicking 'Updates > Scheduled updates' on the employee profile. If a field is encrypted, you can view scheduled updates after unmasking the field values (from the 'Show values' option).
When viewing or editing an employee profile against the fields with scheduled updates, there will be an indicator to inform you that there is a scheduled update on this field.
HR Admins can view scheduled employee field updates for all employees.
Managers and employees can view scheduled employee field updates only for the fields that are editable by them.
For fields that have been set to keep history, scheduled updates will also be visible under the History modal of the field that is scheduled to be updated.
Managing scheduled changes
HR Admins can edit or cancel scheduled changes from the three dots menu of each schedule update under the Updates side panel.
Edit
You can only change the schedule date and not the value. Once the edit is complete, the updated schedule date will be displayed in the Updates sidebar.
Cancel
You can cancel an individual schedule update from the three dots menu or cancel all updates (if there are multiple scheduled updates for an employee) from the button at the bottom of the side panel.
