Key info: Overview of each employee's time-off balance, including the days they've carried over, used or still have available
Data filter: Includes data as of the date you visit the report (as of today)
Update frequency: Every 1 hour
To access the report:
- Click Reports in the main navigation bar
- Visit the Employee Management tab
Only HR Admins can access this report.
The time when the report was last synced is shown at the top of the report.
Filtering and sorting
Use the filter options to narrow down the report data by time-off type, department, and entity/location (you can select more than one at a time). By default, only Active employees are shown. You can change this filter to include Draft employees or other employment status types.
You can also choose a past date in the date picker to see how balances looked at a specific point in time. The default date filter is set to 'As of today'.
Advanced filtering is available across all table columns, using the format [filter] [operator] [value]. This allows you to build precise queries — for example, fetching balances greater than 5 days by filtering on the Amount column.
Most columns are sortable. Select a column header to sort the table in ascending or descending order.
Report columns
You can customize which columns are visible in the report and their order. Select the column picker to add, remove, or reorder columns. Resetting the columns returns them to the default state.
The table provides the below details for each employee:
- Employee name
- Employee ID; you can set this as auto-increment or manual in the default profile template
- Time-off type
- Time-off policy
- Current balance (amount): the total balance the employee has (had) for the specific time-off type, policy, and date selected, including carried-over amounts from the previous cycle
- Unit: whether the balance is measured in days or hours, based on the time-off policy setup
- From cycle: the balance that came from the accrual/renewal of the current cycle
- Carried over: any balance carried over from the previous policy cycle; these days are consumed with priority
- Adjustments: the total amount of adjustments made by HR Admins within the specific cycle
- Used: the total usage for the current cycle, including all approved requests (historical and upcoming)
- Department
- Entity & location
The following columns are optional and can be added via the column picker:
- Employee email
- Time-off policy unit (hourly, half day, day)
Saving and scheduling
The report can be saved and scheduled. Saved reports are listed under the Custom reports section of the Employee Management tab. When saving, your column selection, order, applied filters, and sorting preferences are all preserved.
To set up a schedule, open a saved report and select the schedule option from the report actions. Scheduled reports are delivered to your email on the configured frequency.
Exporting
To export the report, select Download CSV. The export is processed asynchronously — once ready, a link will be sent to your email address. Export links are valid for 7 days. A maximum of 100,000 rows applies per CSV export.
